We are working with an organisation that requires a Client Co-ordinator to join their Team
This role calls for a person with strong attention to detail and an ability to create eye-catching and engaging documents and presentations. Strong administration skills with an ability to juggle a range of priorities is critical to success within this varied and demanding role as is experience of working in a busy office dealing with a range of Clients. Someone enthusiastic, hard working and who has a “can do” attitude should enjoy working as part of oursmall, busy and dedicated team.
The Role
• Create and delivery including workbooks, handouts and supporting PowerPoint presentations that reflect our high quality, leading-edge brand
• Co-ordinate a team off occasional proof readers to support the above
• Manage and maintain equipment used in workshop and event delivery ensuring it is booked out, transported and returned safely and in working order e.g. laptops, projectors etc.
• Provide dedicated administrative support for Clients and Consultants including; sourcing and shipping of equipment and learning resources to event locations; obtaining venue and delegate details from clients and forwarding to Consultants; updating and maintaining delivery databases
Coordinate the equipment, materials and reports for assessments
Responsibilities
• Establish and develop rapport with all clients and consultants, actioning requests promptly and maintaining up-to-date contact details.
• Create proof and produce a variety of learning and development materials within agreed timescales, ensuring these meet our quality standards and client specification.
• Co-ordinate proof reading activity with outsourced proofreaders to support the above
• Update Client Service Manager (CSM)/Project Managers (PCs) on the progress of material production, highlighting any quality and/or deadline related issues which may arise.
• Drive for continuous improvement of materials in liaison with CSM/PCs.
• Store and retrieve client information in line with agreed processes – ensuring ease of reference/access including updating of venue and delegate details prior and post delivery
• Ensure equipment is functional and labelled prior to despatch and on return, proactively resolving any faults.
Manage and maintain appropriate systems for booking and tracking equipment and resources in and out of the building.
• Organise the production and despatch of all materials, resources and equipment to various venues, ensuring these arrive and are returned within agreed deadlines and tracking information is entered in the appropriate database.
• Ensure all electronic and paper copy master material files are maintained, updated and archived as appropriate.
• Communicate relevant client information (e.g. sales information/feedback/problems) to PM, enabling further action to be taken where appropriate.
• Check and verify incoming supplier invoices (within authority limits).
• Carry out all work in a health & safety conscious manner, flagging any issues / improvements to the CSM/PM.
• Share new ideas and information with other members of the team, promoting an environment of continuous improvement and support.
• Receiving telephone enquiries in a professional and courteous manner, ensuring these are appropriately dealt with as soon as possible.
Receive process and distribute incoming post-event evaluation forms, updating appropriate databases
