Part Time Finance Assistant/Bookkeeper – One day per week - Mayfair – London
Role Profile:
An experienced bookkeeper, for one day per week, working out of our office in Mayfair. You will be responsible for the accurate and timely bookkeeping of all financial transactions culminating in the preparation of monthly management accounts and any other management information required by the Directors of the Company. The role includes:
Experience Required:
Three years of retail bookkeeping and management accounting experience
Bookkeeping qualification an advantage (AAT or equivalent desirable)
Ability to communicate at a professional level
Role Responsibilities:
Bookkeeping
Purchase ledger
· Check invoices to order/delivery advice
· Check invoice for correct pricing and arithmetic accuracy
· Obtain authorisation for payment
· Prepare manual cheques and foreign transfer payments
· Post invoices, credit notes and payments to purchase ledger
· Reconcile purchase ledger balances to supplier statements
Sales ledger
· Raise sales invoices for wholesale sales as required
· Post website, telephone and event sales to the sales ledger on a weekly basis
· Match cheques, credit card and cash receipts to sales on a weekly basis
· Investigate and reconcile any unmatched sales receipts
· Reconcile the sales ledger on a weekly basis, preparing a list of balances due from customers
· Prepare sales information to the detail and frequency required by the Company Directors.
Stock
· Match movements of stock thorough the stock system to purchases, sales, issues and returns as appropriate.
· Ensure that the stock system is maintained with current cost and sales prices
· Maintain a monthly stock cut off ensuring that the monthly management accounts record the appropriate closing stock value at cost
· Ensure that the month end stock figure includes all stock wherever it is held (fulfilment house, manufacturer etc)
· Ensure that stock is appropriately adjusted for samples and press/public relation gifts
· Identify any slow moving lines of stock and bring to the attention of the Company Directors to determine whether a provision is necessary
· Make an appropriate provision for stock shrinkage when necessary
Bank and cash
· Post all bank and cash receipts and payments
· Prepare weekly bank reconciliations
· Reconcile petty cash on a monthly basis
Credit Control
· Undertake all credit control duties ensuring that all customers pay within the companies terms
Credit cards and expenses
· Obtain monthly credit card statements and expense claims
· Check all expenses to supporting documentation ensuring appropriate authorisation by the Company Directors before posting to the purchase ledger
VAT
· Ensure all invoices comply with current VAT legislation and are in the name of the company
· Prepare and submit the quarterly VAT return
Management Reporting
Nominal ledger
· Maintain the companies nominal ledger in the format required for group reporting
· Undertake all month end procedures, accruals, prepayments, depreciation etc
· Maintain the companies fixed asset register
· Produce a month end trial balance and full nominal ledger report
Management Accounts
· Prepare month end management accounts which compare actual results to budget
· Provide commentary on gross margin movements and cost variances as appropriate
Year End Financial Statements
· Prepare year end management accounts and stock reconciliation with supporting documentation for review by the companies auditors
