6 Months Maternity Cover - £17-18000 pa

Our client based in Swindon is currently seeking an Office Manager to cover 6 months maternity leave. You will be responsible for providing effective administrative support to Office Manager and Directors
Main duties and responsibilities:
- Effectively manage diaries, including setting up internal and external meetings
- Maintain electronic filing systems and set up/implement new paper-based filing systems as and when required.
- Organising catering for meetings as and when required
- Prepare conference rooms for meetings - tea, coffee, biscuits, flipcharts, pens, pc equipment
- Take responsibility for maintenance of office equipment ? printers, fax, photocopier
- Liaison with suppliers
- Maintain company PR folder
- Maintain industry magazine library
- Report printing and document binding as required
- Greet and look after visitors
- Maintenance of our contacts database and inputting business card / new business contacts information.
- Respond to telephone queries ensuring messages and enquiries are accurately taken and relayed or routed to appropriate
person in organisation
- Assist with setting up interviews and selection tests as well as preparation for interviews.
- Assist with setting up marketing events
- Assist with the organisation of social events
- Take responsibility for booking travel and accommodation as and when required (prior authorisation needs to be given by
Director or Office Manager)
- Preparation of mail outs
- Update notice boards and public display screens.
- Clerical support for new business leads / mail outs.
- To deputise for Office Manager in their absence.
- Maintain a high standard of working practices at all times
- Take responsibility to complete allocated tasks and taking shared responsibility when necessary
- Maintain flexibility in working approach and take ownership where required
- Effectively communicate feedback to involved colleagues raising any issues with Media Executives or Media Managers
You must be competent in MS Office, have excellent administration skills and work well under pressure. You must also posses an excellent telephone manner, be organised, motivated, proactive and have time management skills. Please contact htippins@sjcrecuitment.com quoting reference SJC2020.
