Key responsibilities will include a mixture of Finance and HR management.
1. Finance duties will include the following:-
• Process all time transfers and write offs as they arise.
• Print all bills and raise credit notes as required.
• Produce monthly statements, send to clients provided authorised by the account manager.
• Post all daily cash receipts on the PMS/Great Plains.
• Input all monthly expenses into Great Plains.
• Manage petty cash daily.
• Undertake any other adhoc duties required by Group Finance.
2. HR duties will include:-
Personnel records
• Ensure any personal details changes (eg change in address, marital status etc) are properly recorded on the “Change of personal details” form and sent to Group HR
• Send any personal information (eg interview notes, letters, sickness forms etc) are sent to Group HR
• Ensure managers are aware that any formal changes to a member of staff’s terms and conditions should be properly authorised using the Contract Changes Authorisation form.
Annual Leave
• Provide guidance to staff on the holiday procedures as required (we are proposing to change the process so no longer central record, only departmental spreadsheets provided, with Group HR undertaking monthly audit.
• Direct responsibility for recording operational support holidays
Recruitment
• Advise managers undertaking recruitment to liaise with Group HR
References
• Forward all requests for references to Group HR
New Starter Induction
• Conduct the “First Day Induction” with any new starters in the office. Ensure completion of the Induction Checklist. Accurately collate all new starter information in keeping with the Induction Checklist
• Ensure the Money Laundering CD is followed through by all new starters and that their test results are communicated to the Money Laundering Officer (Amanda Bennett)
Probation
• Send completed probation forms to Group HR
Resignations
• Send any notification of leavers/resignation letters to Group HR
• Liaise with Finance and Operations in Bath to ensure all equipment is returned prior to the employee leaving
• Complete leaver’s process in keeping with the Leaver’s Checklist
Absence Leave and TOIL
• Send original copies of absence certificates, doctor’s certificates or TOIL forms to Group HR
Appraisals
• Chase managers for appraisal records
• Send copies of any appraisal documents received to Group HR
Support Management
• Ensure that reception cover is maintained and effective between the hours of 8.00am and 5.30pm.
• Manage the support team to ensure that support delivers a quality service to the Reading office (i.e. administration, kitchen management, client and team training lunches, stationery stock, IT, H&S,HR, buildings as delegated)
• Undertake any other adhoc duties required to ensure the smooth running of the Reading office.
Hours will be 25 hours per week, flexibility to work mornings or afternoons
